An international and well established private equity firm is currently looking for an up-and-coming Executive Assistant to provide additional support to a number of senior level executives within the firm. This will initially be on a temporary basis but has the potential of becoming longer term for the right candidate. This is a fantastic opportunity to join a friendly and close-knit team with a dynamic culture. The ideal candidate will be highly adaptable and willing to learn with excellent organisational skills alongside proven experience supporting teams in fast-paced and international environments.
RESPONSIBILITIES
• Provide full range of secretarial and administrative support to the executives and teams
• Interact with all levels of staff including senior management
• Coordinate meetings, set-up video/audio conferences, and prepare meeting and marketing materials, e.g. PowerPoint presentations
• Communicate and handle a high volume of incoming and outgoing communications including effectively screening calls
• Act as a receptionist and/or meet and greet clients
• Take charge of document control and data filing
• Assist with expense claims and reimbursements in line with company policy
• Maintain discretion on all confidential matters
• Perform ad-hoc duties as assigned
REQUIREMENTS
• Bachelor degree or equivalent
• A minimum of 3-5 years’ relevant experience in administration serving senior level management
• Experience within financial services/asset management is preferable
• Excellent English is a must, alongside Cantonese and Mandarin speaking skills
• Good knowledge of MS Office
• Superb interpersonal and communication skills with good telephone manner
• Highly organised and able to prioritise, multi-task and deal with last minute changes
• Be able to work independently with minimal supervision
• Enthusiastic and proactive approach to work
