Our industry leading client is seeking a highly organized and proactive Executive Assistant to become a strategic partner to our executive team and contribute to their dynamic growth.
The Executive Assistant (EA) provides critical administrative and operational support to top management, This role is far more than traditional administrative work; it is a force multiplier for the executive. The ideal candidate will be a strategic thinker, an exceptional communicator, and a master of logistics who thrives in a fast-paced environment. You will anticipate needs, manage complex schedules, and handle confidential information with the utmost discretion, enabling the executive to focus on high-level leadership and strategic priorities.
Key Responsibilities
Executive Support
Proactively manage the executive’s complex and dynamic calendar, including scheduling meetings, appointments, and travel, while strategically prioritizing time-sensitive commitments.
Act as a gatekeeper and liaison, screening phone calls, emails, and visitors with professionalism and sound judgment.
Prepare and distribute agendas, documents, and pre-read materials for meetings.
Attend key meetings, capture detailed minutes, and track action items to ensure follow-through.
Coordinate complex domestic and international travel itineraries and accommodations, ensuring seamless logistics.
Manage executive expense reporting and reconciliation with a high degree of accuracy.
Communication & Stakeholder LiaisonDraft, proofread, and edit a wide range of correspondence, including emails, reports, presentations, and board communications.
Serve as the primary point of contact between the executive and internal departments, board members, clients, and external partners.
Ensure clear, timely, and effective communication on behalf of the executive’s office.
Strategic Partnership & Confidentiality
Anticipate the executive's needs and proactively address issues before they arise.
Handle highly sensitive and confidential information with integrity and discretion.
Represent the executive and the company with a professional and positive demeanor.
Key Requirements
6+ years
of experience as an Executive Assistant or Personal Assistant supporting C-level executives.
Impeccable verbal and written communication skills in English, Cantonese and Mandarin.
Expert proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and calendar management tools.
Proven ability to manage multiple priorities with a high degree of accuracy and meet tight deadlines.
Demonstrated experience in handling confidential information with discretion.
Bachelor’s degree in Business Administration, Communications, or a related field.
