Our client is one of the world’s largest and most respected investment management firm with an impressive track record and stable team. They are now seeking a top caliber and highly proactive Executive Assistant with Japanese speaking capabilities to support one of their key leaders in the business. The ideal candidate will have excellent organizational and interpersonal skills and would have worked in a similar international and fast-paced environment.
Responsibilities:
- Provide overall administrative and dedicated support to Principal of the team
- Manage a complex calendar and arrange video conferences and conference calls across multiple time zones
- Coordinate and schedule meetings and prepare any relevant materials, organize catering and transportation, meet and greet guests
- Coordinate travel arrangements
- Diary management and phone coverage for Principal
- Prepare, submit, and reconcile expense reports and credit card statements
- Build strong working relationships with peer administration staff and provide back-up support for other Assistants as required
- Special projects and detailed reporting as required
- Assist in composing and proofing of letters, memos, meeting agendas, reports, and slide presentations
- Organize and maintain files, and mailing lists and contacts
- Provide personal administrative support to Principal as necessary
- Ad Hoc personal errands
Requirements:
- Degree qualified
- Minimum of 3 years’ experience in supporting senior level executives as a Secretary/Executive Assistant
- Advanced knowledge of Microsoft Office suite (Excel, PowerPoint, Word, Outlook)
- Preference for candidates with background in Financial Services, experience in a trading environment would be a plus
- Prior experience providing outstanding administrative support in fast-paced and international environments
- Exceptional communication skills with fluency in English and business level of Japanese and Mandarin
- Proactive and autonomous with the flexibility to adapt to ever-changing priorities and responsibilities
- Ability to solve problems and think "outside of the box"
- Strong organizational skills with ability to prioritise workload and meet with tight deadlines
- Discreet, sensitive to confidential and/or personal matters
- Must be a team player and proactive in supporting Investment teams
