A leading investment management firm is searching for a highly efficient and adaptable Office Manager/Executive Assistant to support their Head of Human Resources and oversee the administration function for the office. This is a unique opportunity to take on a blended role in an office with a great working culture. The ideal candidate needs to have people management experience and must be confident with working autonomously whilst juggling varying demands.
RESPONSIBILITIES
Provide overall administrative and secretarial support to 2 senior members of the management team
Manage a busy calendar of meetings and frequent international travel itineraries and arrangements
Ensure the team are adequately prepared for any meetings, business trips or other engagements
Responsible for managing a small team of Administrative Staff and ensuring everything is running smoothly and appropriately
Maintain good relationships with stakeholders across Asia
Provide training and mentoring to the assistants, and assign allocation of resourcing needs and team coverage
Handle office administration functions
Manage various administrative systems, such as systems for client database, client account reports, invoices, expenses etc.
Responsible for replenishment of office and pantry supplies and general maintenance of the office
Keep abreast of best practice and industry trends
Handle any ad hoc projects as assigned
REQUIREMENTS
Bachelor’s degree or equivalent
Minimum of 10 years’ experience in Office Management & Administration
Demonstrated track record of successful team management
Preference for candidates with background in Financial or Professional Services
Exceptional communication skills and fluency in English and Cantonese; Mandarin would be advantageous
Proficiency in Microsoft Office suite (Excel, PowerPoint, Word, Outlook) and Chinese Word Processing
Ability to work autonomously and collaboratively – comfortable in a fast-paced and multicultural team environment
Highly organised and able to prioritise, multi-task and deal with last minute changes
Proactive with ability to think on your feet and solve problems
