About the role
We are seeking a highly organized and detail-oriented Visual Merchandising Coordinator to be the operational backbone of our VM department. This pivotal role is responsible for managing the essential tools and processes that bring our brand to life in stores. You will be the key point of contact for inventory, logistics, and guideline administration, ensuring our regional and wholesale teams have the resources they need to execute flawlessly and maintain brand excellence.
Key Responsibilities
Inventory & Logistics Management:
Maintain and manage the global inventory of VM props, library objects, and catering items, ensuring accuracy and optimal stock levels.
Oversee packaging inventory, monitor stock, and coordinate timely shipments to various retail locations.
Consolidate data and maintain a precise, up-to-date database for all VM assets.
Guideline Development & Distribution:
Assist in the creation, compilation, and distribution of generic VM guidelines for seasonal campaigns.
Develop and distribute specific visual merchandising refresh guidelines for wholesale partners, including updates for VM and store elements.
Administrative & Operational Support:
Prepare and manage departmental documents, including reports, shipment paperwork, and presentation decks.
Handle the procurement process by obtaining vendor quotations, processing invoices, and tracking departmental expenses.
Efficiently coordinate and fulfill Ad Hoc requests from the VM team and other departments.
Qualifications
Experience:
Minimum of 3 years of administrative, coordination, or operational support experience within the luxury retail sector.
Technical Skills:
Advanced proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) is essential.
Strong data management and numeracy skills, with a keen eye for detail.
Proficiency in Adobe Acrobat for creating and editing professional documents.
Professional Competencies:
Excellent logistics, planning, and organizational skills.
Superior communication and interpersonal skills for effective coordination with internal teams and external vendors.
Meticulous record-keeping and ability to manage multiple tasks simultaneously in a fast-paced environment.
Fluent in written and spoken English and Cantonese. Proficiency in Mandarin is a significant advantage.
