A renowned and respected investment management firm headquartered in the U.S. is currently seeking a top calibre and highly adaptable Administrative Assistant with strong communication skills in Mandarin to assist their team of senior executives. This is a fantastic opportunity to join a dynamic and truly collaborative team very much focused on learning and development.
Responsibilities:
- Possess excellent telephone manner – professionally handle/direct calls to relevant teams, taking down any messages
- Maintain calendars for managers and team, ensuring consistency and accuracy
- Assist in the coordination of video/audio conference setup among global offices
- Organize and schedule meetings and travel agenda, coordinating with assistants in global offices as necessary
- Organize and maintain a good filing system for any administrative paperwork
- Manage expense and business claims for travel and hotel bookings whilst adhering to company policies and budgets
- Manage various administrative systems, such as systems for client data base, client account reports, invoices, expenses etc.
- Handle catering and events when necessary
- Assist in daily general office administration, but not limited to purchase, replenish office supplies and manage facility maintenance
- Front office admin support when required
- Handle any other related duties as assigned by the Office Manager from time to time
Requirements:
- Degree qualified
- Proven work experience supporting senior level executives
- Preference for candidates with background in financial institutions
- Proficiency in Microsoft Office suite (Excel, PowerPoint, Word, Outlook)
- Excellent command of English and Mandarin
- Strong phone, email and in-person communication skills
- Ability to work independently, prioritise workload and meet with tight deadlines
- Great attitude and adaptable nature with a high level of personal responsibility
