A renowned and prestigious asset management firm with an impressive track record and huge global presence is currently seeking a top calibre and highly collaborative Team Assistant to assist their Regional Sales team. RESPONSIBILITIES
• Provide overall administrative and operational support to the Head of Sales, Asia and Sales Department
• Maintain calendars for Head of Sales and team, ensuring consistency and accuracy
• Support the Sales desk with account management and help to onboard new clients
• Assist in the coordination of video/audio conference setup among regional offices
• Assist with MIS and generation of client reports on a daily, weekly, monthly, and quarterly basis, liaising with internal teams as necessary
• Help with corporate marketing as a back-up
• Coordinate the preparation, proofreading and distribution of RFPs and PowerPoint presentations as needed
• Organize and schedule meetings, logistics for roadshows and travel agenda, coordinating with regional/global team as necessary
• Ensure the team are adequately prepared for any meetings, business trips or other engagements
• Monitor the travel budget and assist in the timely preparation and submission of expense claims and reimbursements in line with company policy
• Possess excellent telephone manner – professionally handle/direct calls to relevant teams, taking down any messages
• Handle any other related duties as assigned from time to time
REQUIREMENTS
• Minimum of 2 - 3 years’ work experience in a similar role; Financial or Professional Services background would be preferable
• Proven work experience supporting senior level executives
• Proficiency in Microsoft Office suite (Excel, PowerPoint, Word, Outlook)
• Outstanding interpersonal and communication skills; fluency in English as a priority; Cantonese and/or Mandarin would be advantageous
• Hardworking and methodical with strong attention to detail
• Ability to work autonomously and collaboratively – comfortable in a multicultural team environment
• Exceptional prioritization and organizational skills
• Great attitude and adaptable nature with strong desire to learn and expand on responsibilities
• Robust and resilient with a good sense of humour
