Our client is a highly respected and long-established global investment management firm, and they are currently seeking an up-and-coming and highly efficient Administrative Assistant/Team Secretary to support the Marketing Teams on a 6 month contract role with a possibility of contract renewal. RESPONSIBILITIES
•Provide administrative support to the executives and team. Executive is based in Australia, so in this role you will spend approx. 50% providing admin support to the Executive: calendar management (across time zones), business travel arrangements, coordinate internally to compile info for regular reports, PowerPoint update (basic), and organizing team meeting agendas etc
•The remaining time will assist the rest of the team, majority in HK, on more complex meeting scheduling, invoice processing, some event logistics. A couple of the more senior marketing managers may travel, but not heavily , so the admin will help travel booking and subsequent expenses if/when needed
•Maintain calendars, book meeting rooms and schedule meetings and conference calls with internal and external parties
•Respond and deal with external or internal telephone calls and queries in a professional manner
•Perform research via the internet and subscription-based research portals as requested
•Review, prepare and manage the submission of expense claims and reimbursements in line with company policy
•Review, track and maintain documents; following-up to obtain information as necessary
•Develop and maintain a filing system and contact database
•Perform other administrative duties as needed
REQUIREMENTS
•Bachelor’s degree or equivalent
•A minimum of 6 years’ relevant experience supporting senior management/ executives, ideally within a financial services firm
•Excellent English is a must, alongside fluency in Cantonese and Mandarin
•Good knowledge of MS Office
•IT Savvy
•A team player and able to navigate internally to get things done / solve problem.
•Good level of proactivity is also important (especially given that the Executive is not co-located in HK)
•Exceptional verbal, written and interpersonal communication skills
•Strong track record in managing multiple projects with a proven ability to prioritize
•Self-starter with a proven ability to take initiative
•Team-oriented with strong integrity and professionalism
•Strong analytical skills and excellent attention to detail
•Immediately available is preferred
