My client is a long-established, global investment management firm with an impressive track record and very stable team. They need a highly efficient Executive Assistant/Personal Assistant to support their much respected and extremely busy CEO. This is truly an exceptional opportunity for an outstanding candidate who is passionate about delivery and exceeding expectations, but critically has no problem with also helping with the more mundane tasks. The successful candidate will be capable of juggling multiple last-minute changes and be confident being able to prioritise tasks in a very fast-paced environment. As this is a small office and not a big corporate machine, you must have the ability to be agile, adaptable, and capable of finding the solutions to any problems.
RESPONSIBILITIES
Proactively manage the Executive’s diary on a day-to-day basis, resolving diary conflicts and regularly communicating with the Executive to ensure awareness of changing priorities and commitments
Manage an extremely busy calendar of meetings, roadshows, and complex and highly frequent international travel itineraries and arrangements across multiple time zones (previous experience of complex travel coordination and handling related logistics during the pandemic is a MUST)
Ensure the Executive is adequately prepared for any meetings, business trips or other engagements
Coordinate the preparation, proofreading and distribution of reports, agendas, presentations, and other documents as needed
Handling of confidential documentation and correspondence as requested
Monitor the monthly travel budget and assist in the timely preparation and submission of expense claims and reimbursements in line with company policy
Liaise with vendors, clients, and external consultants
Handle personal matters as required with an eye for detail. Multiple options are requested by the executive, so a detailed person with a researcher mindset will be successful in this role.
REQUIREMENTS
Degree qualified
Ideally a minimum of 8 years' experience with at least 3 years directly supporting C-suite, MD or Board level executives; must be one-on-one experience for at least 3 years.
Experience of complex travel coordination and handling related logistics during the pandemic is a MUST – ability to pivot and change plans at the last minute also essential
Preference must come from a Financial or Professional Services background
Prior experience providing outstanding one to one support in pressured and international environments essential
Exceptional, confident communication skills a must, near native English helpful.
Advanced knowledge of Microsoft Office suite (Excel, PowerPoint, Word, Outlook)
Ability to anticipate needs or problems, think "outside the box" and proactively offer solutions an absolute must
Detail minded with ability to prioritise workload and meet with tight deadlines
Strong integrity with ability to handle highly confidential situations with professionalism and tact
