Our client is a highly respected and long-established global Asset Management firm with an impressive track record and stable team. They are now seeking a competent and highly experienced Road Show Coordinator/Team Coordinator to support one of their Fund-Raising Teams in the business. RESPONSIBILITIES
Provide daily administrative support including phone coverage, calendar management, filing, and handling of
various internal and external scheduling
Roadshow coordination for Client fundraisers
Heavy client meeting scheduling and calendar management. Keeping bankers on track of daily schedules
Travel management including Airfare, Hotel and Car Transportation
Heavy Expense reimbursement processing
REQUIREMENTS
7-10+ years of related experience required in working in an executive assistant role, preferably in the Investment.
Banking or Fund Managers
Detail and task orientated with strong organization, prioritization, tracking scheduling skills.
The ability to work in a fast-paced environment in a trading floor environment.
Extremely professional phone demeanour with exceptional written and verbal communication skills and ability to
develop a strong working rapport with key client’s executive assistants.
Mastery of Microsoft Outlook, Adobe PDF, Scanning & basic Word, and Excel skills.
Ability to schedule and plan multiple complex travel itineraries – coordinating with numerous internal and
external assistants across time zones in the whole Asia Pacific region, the US and Europe
Responsible for all (Hong Kong based) internal calendar invites for global teach-ins and group meetings etc.
Requires cross-departmental team coordination for conference calls and meetings (specifically being
appropriately inclusive by getting to know core business team)
Must be able to work under deadlines and adapt to a fast-paced environment.
This role will be expanded over the course of time and level of adjustment.
Ability to work with other assistants globally on the team.
Available after hours as needed on mobile phone. Mostly for any travel or meeting changes, and also to
Schedule meetings with clients in the US and Europe
