About the role
We are seeking a highly organized and proactive Team Assistant to provide comprehensive administrative and operational support to a dynamic team. The ideal candidate will have a strong background in administrative roles, excellent communication skills, and a proven ability to thrive in a fast-paced environment.
Responsibilities
Manage calendars, schedule meetings, and coordinate travel arrangements for multiple team members.
Prepare and edit correspondence, reports, presentations, and other documents.
Organize team offsites, workshops, and events, including logistics and vendor coordination.
Coordinate and prepare materials for meetings, including agendas, minutes, and follow-ups.
Act as a liaison between the team and internal/external stakeholders.
Handle confidential information with professionalism and discretion.
Assist with tracking team projects, deadlines, and deliverables.
Support budget tracking, expense reporting, and invoice processing.
Maintain shared drives, databases, and filing systems.
Facilitate onboarding of new team members.
Support internal communications and team engagement initiatives.
Identify and implement process improvements to drive operational excellence.
Qualifications
Proven experience as an Executive Assistant or in a similar administrative role supporting multiple leaders.
Prior experience as a Team Assistant, preferably in an investment bank or similarly fast-paced environment.
Fluent in English and Mandarin.
Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (e.g., Teams, Zoom, SharePoint).
Excellent organizational, time management, and communication skills.
High level of discretion, attention to detail, and professionalism.
Self-motivated, mature, and able to work both independently and collaboratively.
A positive attitude and strong team player mindset.
Must hold a valid HKID card.
